- schedule all the Smart Mondays in the year
- check if there is any holidays or any bank holidays
- check if it is okay to organise with the student comitee calendar
- check if there is any virus/ natural disaster/WW3/ World ends
- create the event on the Urlab Calendar
- template description on Github
when possible
- find talkers for future date
- template mail on Github
- better to talk in real for possible talkers
- look after assistants TP in IT
- look after some teachers in IT
- look after Urlab old members
- look after Urlab current members
- keep track with the talker if they are interested to do a talk
- send mail to confirm their presence
- send a description of what is expected ( template on Github )
- maybe ask for the phone number to ease contact on the D day
- If confirmation of date and subject, update the event description
at least one month before the Smart Monday Event
- fill the form for a local reservation
- wait to get the confirmation of the reservation
- when we get the confirmation, update the local for the event
2 weeks before the D Day
- making announcement on all socials canals possible for the event with a little text
- push forward that any knowledge is required because it is supposed to be beginner friendly
1 week before the D Day
- remind of the event on social medias uwu (yes we like reminder)
